International Shipment Tracking: Useful Updates and Limits

Online buyers are used to clear order updates. For an international shipment, however, visibility depends on the carrier, route, handovers and the systems used by each party. A useful update explains the latest confirmed milestone, the next step and who is responsible for it. It should not turn an estimate into a delivery promise.

Map the milestones before promising tracking

Agree which events can be reported: collection, export handover, carrier departure, arrival, customs release and final delivery. A booking confirmation is different from physical collection, and arrival is different from customs release. Ask the forwarder which milestones are available for the chosen service and how often they are refreshed.

Give customers context with each update

Share the shipment reference, event time and location where confirmed, the meaning of the event, and the next expected action. If a scan has not appeared, state that the status is being checked rather than claiming the cargo has moved. When a shipment changes hands, name the party responsible for the next update.

Plan for exceptions

Customs queries, missing documents, carrier schedule changes and delivery access can change the plan. Set an escalation contact and agree when a revised estimate will be provided. For business cargo, confirm who supplies documents and who communicates with the consignee.

Example: an update when a milestone is delayed

Instead of saying “delivery is on schedule” when no release has been confirmed, write: “The carrier reports arrival at the destination terminal. Customs release has not yet been confirmed. We are checking the outstanding document with the importer and will provide a revised delivery estimate once release and collection are arranged.” Use the actual verified event, responsible party and next check for each shipment; do not copy this example as a live status.

For ocean cargo, see the sea freight milestone and exception checklist to decide which events to request from the carrier or forwarder.

Questions to ask your logistics provider

Does every international shipment have real-time tracking?

No. Available events and their timing depend on the carrier and service. Ask what visibility is included before booking.

Is an estimated arrival date a delivery commitment?

No. Arrival, release and final delivery are separate stages. Confirm the scope and the conditions behind any estimate.
